PROJECT CHECKLIST
4-6 months prior
Submit your idea, project, event, exhibition, performance, etc. to the Project Planner and include:
Timeline: call for art deadlines, booking plan, announcements, events, etc.
Description ready for marketing (or what you have determined so far)
Your needs from the collective, such as people, money, space, etc.
Seasonal deadlines:
For Q1 events/projects in Jan, Feb, March: September 30
For Q2 events/projects in April, May, June: December 31
For Q3 events/projects in July, August, September: March 31 (extended to April 30)
For Q4 events/projects in October, November, December: June 30
3 months prior
Attend the next Collective Meeting to discuss your proposed project, get next steps, and find team members to help
Confirm budget with the administrative team
Prepare and distribute announcements for calls for art, vendors, performers, workshops facilitators, etc.
Prepare contract with details of project, dates, location, etc
All contracts must get approval from Jess Sweeney (some venues, artists, partners, will require a contract from Common Folk to move forward)
2 months prior
1 month prior
Complete calls for art, book artists, confirm vendors, etc.
Secure locations and/or online Zoom links*
Finish marketing plan and update details to:
Marketing Coordinator (Makayla)
Program Leader
Ensure that details are updated on the Project Planner
Coordinate team and schedule for set-up/break-down, receiving artwork, working with musicians, etc.
Organize artwork, supplies, decorations, etc.
